Project Management
Share your resources and project descriptions in an easy and straight-forward way. Break your project into deliverables, and organize stand-ups to keep things on track. That's it.
As with all Podio apps, this pack leverages the built-in calendar, contacts, file sharing with ShareFile, Dropbox, GoogleDocs and Drive, and more neat integrations for your files, as well task management and social activity streams.
If you install this App Pack into an organization licensed with Podio Premium, you can also install the related Podio Workflow Automation flows. To install the flows, you will need to refresh within your Podio Workflow Automation (PWA) console. Note that you must refresh PWA after installing the app pack, and before making any modifications to any app in the pack. If you make any changes to apps before refreshing in PWA, the flows for that app will not install.
If you want the workflow automations but have installed this pack into a workspace that is within a Podio organization on Podio Free, Podio Basic, or Podio Advanced, you must upgrade your Podio organization to Podio Premium first, and then reinstall the app pack.

Easiest and best way to get started with PM on Podio!
This pack is referenced in this blog post: http://blog.podio.com/2012/04/02/simple-project-management-with-podio-in-3-easy-steps/
I'm just getting started with Podio and have added the Simple Project Management pack to a workspace. I've noticed that after adding a project, it adds two entries in to the calendar both on the finish date of the project. Is this expected behaviour or just a bug? Also, the calendar just shows the Project Title on that date. Is it possible to automatically display the entry as an Finish or Due date so that it is clear to all workspace members?
This is definitely the best pack to start with on Podio as it is easy to pick up and just run with especially for someone averse to complexity like me.
Thanks for the kind words. It is supposed to add the finish date (project deadline) to the calendar, but not twice. )If you experience this please send us a screenshot on support@podio.com and we'll look closer into it.) You can change which fields are shown in the calendar by choosing Modify in the app settings and then toggling the checkbox on each date field. The calendar only shows the title at the moment, so there is no secret setting to show field titles.
Very helpful....
I am just starting don't know what I'm doing, and lost
@Netia - try the Podio help site - https://help.podio.com/home
Something really interesting also take a tour around and then see, should. I writ something here or not! Lol
We'd like to be able to clone a workspace with a deliverable app that has 5 entries in it. When you then start a new project from the app market the entries inside the deliverable app should still be there. Possible?
The other solution would be to clone a whole workspace. Possible?
Hi Alexander. No it is currently not possible to clone with content, the answer would be to clone the app to another workspace and later import or add items to the app. /Sara
Budget time and money connected to deliverables by timesheets. Makes sense for labor. Where is the accounting entered for the cost of materials and other spent money items (not related to timesheets)? Are we just overlooking the field, or do we need to add another app? We're not needing an accounting app, just a simple place to log the the costs of the project deliverables applied to the budget. Thanks!
You can easily add that field to the app yourself Dave. That's the beauty of Podio. As a software company, we don't have material expenses, but since you do, you can just take this template and modify it to fit your business needs. Simply click the app you'd like to customize, hit the wrench in the top right corner and then click "modify app". http://www.youtube.com/watch?v=VNKytOJRHyw
Ok, we could change the "timesheets" app to be "time & materials" - thanks!
Ok this has been a nice way to start with podio. But what I don't understand, is why the reference app in "Deliverables" does not show the related projectname? It only shows the customer name. This makes it a bit confusing. Suppose I have two projects going on for 1 client, both with their own deliverables. In the overview, I can't see what actual project the deliverables belong to.
Can this be changed easily? (probably yes, with some developer skills, haha)
Hi Mark,
This is because the app reference will only show first field of the app. But you can change what to have as first field yourself (without developer skills!), you can modify the app to change the order of the fields: https://help.podio.com/entries/21658282-modifying-an-app
Hope this can help you :)
Hmm.. ! That's funny.. I figured that much (from other reference apps) and tried it... but I couldn't get it to work?
Here is what I did:
- in projects, I created a new text field as the first value. Called it "projectname." Saved the app
- in deliverables, I created a new reference app, referring to Projects. Then I still only get the client name and not "projectname"
What am I missing here.
It will only work for new items created or if you go back and edit old items manually! I should have mentioned this in the first place I guess :)
Sara, I think this is the Bundle I downloaded that has "Important Information" on the right side of the Projects APP referencing the "deliverables" APP...that I can't delete. I don't need that important information (instruction) as I modified the APPs and deleted deliverables APP.
Hey Troy! You should be able to delete and edit this in the app builder under the tab "Instructions"
if we need to add milestones to this pack, which app would we choose?
Hey Carol, you can choose any app called Milestones, then modify it to your needs: https://help.podio.com/entries/21658282-modifying-an-app
You can also build your very own in a few minutes. Here's how you build an app:
https://help.podio.com/entries/21679818-building-apps
And the fields of the app builder: https://help.podio.com/entries/21697027-the-building-blocks-in-the-app-builder
There is no ability to properly describe what you want using wiki style language (tables, etc). Therefore you have to rely on other sources to describe what you want. This leaves it unusable, because if I have to describe what I want using other source, I can already use the other source for the whole project.
Is it possible to import a microsoft project plan into Podio? If not, is there any way to manage task dependencies and identify the critical path?
Excellent question about MS Project as I too could make use of that capability
Kyle, I don't think this is possible in Podio, I am there fore looking at Smartsheet as an alternative.
I have 2 questions about the file service integration :
Is the authorisation per user or per workspace ?
(In the first case one probably wants to share that folder among all users and get everyone on that service. In the second case one probably needs an account on a project email.)
Is there plans / hope that Baraccuda's copy.com will be added to the list of linkable services ?
Thanks
Hey Koen,
More help here: https://help.podio.com/hc/en-us/articles/201018878-Files-and-storage
Thanks. Follow-up question : can I remove the standard "files" section ? (I seem to miss it in the modify app sections.) The reason for this question is I found an app "project files" that saves links to files, which then would be a better fit for us. But not being able to remove the existing files functionality creates an undesirable duplicate function / field, that for sure will be confusing.
Also, if I make modifications to an app, can I then install this modified version to another workspace, existing or future ? (Would be very time saving.) Or would this be better done through "publish workspace" ?
You can easily remove the regular files option from the template: https://help.podio.com/hc/en-us/articles/201019728-Adding-files-to-your-apps
And clone apps to other workspaces: https://help.podio.com/hc/en-us/articles/201019608-Cloning-an-app
:)
Why there is a "deliverables" appin this pack, which recreates the same functions as the by default installed "Tasks" (podio.com/Tasks) ?
What is the difference ?
Also the "deliverables" introduced should at least show in the task list (https://podio.com/tasks) which they dont.
Totally confusing :(
More IMPORTANT questions:
Is it possible to modify the template of the by default installed "Tasks" ?
(E.g. introduce start/end date and maybe categories.
Why there is an additional Task app available (https://podio.com/market/apps/65457-tasks) and it does not integrate with the default Tasks app (podio.com/Tasks) ?
Please help !
Hey Harald, apps in Podio are just a template you can change and modify as you like. So the deliverables app here can be changed to be called "Actions", "Milestones" or something completely third. You can also just delete it after installing.
The app market is meant as inspiration but you decide the workflow you prefer when setting it up in your workspace. Here is how you modify the app template: https://help.podio.com/hc/en-us/articles/201019578-Modifying-an-app
The default task function is more meant as a sub-task functionality for smaller to-dos whereas the larger tasks should be done via a deliverable app and similar. Hope this helps!
Hi Sara, thx for the reply.
The Problem is, that if you use any other app for the Tasks than the Default one you will run into Problems, as for the user there will always be the Default Tasks button on top of the Screen eaven if you do not use it in your Projects. Allso yousers might be tented to create Project Tasks there, instead of the app you defined.
In my opinion ist essentially for having a good UI, that we are able to modifay the Default Task Installation also (or deleete it).
Is this possible ?
Is there a way for Podio to import form entries? for example - project submissions for review followed by review by management. The form will hosted offsite on a wordpress website. Do let me know
Yes, you can use webforms for this: https://help.podio.com/hc/en-us/articles/201019628-Webforms
I organise events. So if i organise the same event i wanted to copy the project for the next year. I can copy the project. But not the tasks. Is that possible?
You could create a workflow so new tasks are automatically created when the project is cloned: https://help.podio.com/hc/en-us/articles/201194467-Automating-workflows :)
Is the project and sales management APP included in the 14 $ version?
Yes! You can even create your own apps.
Here's how you create an app:
https://help.podio.com/hc/en-us/articles/201019278-Creating-apps-
And the fields of the template:
https://help.podio.com/hc/en-us/articles/201019298-The-fields-in-app-templates
Hi Sara, the meeting app defaults time to PM, but I need to setup meetings for AM, cant seem to be able to edit this, is it a bug? Can you/I fix?
Hi Darryl, this should be possible! You can also try to change your account setting timezone to UK format using 24 hours: https://help.podio.com/hc/en-us/articles/201019408-Account-Settings - if this doesn't work, please share a screenshot of the error you see to our team here: https://help.podio.com/hc/en-us/requests/new - we can help you fix it!
